NCSY Refund & Cancellation Policy

Refund & Cancellation Policy for Ground Travel

To ensure fairness and clarity for all participants and planners, the following policy applies:

• Full Refund if cancellation is received before the application/registration deadline
• 50% Refund + 50% Credit toward a future event if cancellation occurs after the deadline but before the Sunday prior to the event
• No Refund, but 50% Credit if cancellation occurs during the week of the event
• No Refund or Credit if no cancellation notification is provided

 

Refund & Cancellation Policy for Airline Travel

Once Midwest NCSY purchases an airline ticket on behalf of a participant, the cost of that ticket is non-refundable by Midwest NCSY, regardless of when or why the participant later cancels their attendance.

Airfare and any associated airline fees or non-refundable travel expenses already incurred by Midwest NCSY will be deducted from any refund or credit that the participant would otherwise be eligible to receive under the event cancellation policy.

If an airline provides a flight credit, voucher, or other value in the participant’s name, that credit is subject to the airline’s rules and does not entitle the participant to an additional refund from Midwest NCSY.

If Midwest NCSY receives an actual cash refund from the airline for a canceled ticket, Midwest NCSY may refund that recovered amount to the participant, less any applicable airline or administrative fees.

Participants and families are encouraged to consider purchasing travel insurance if they are concerned about illness, emergencies, or other circumstances that may prevent attendance.

How to Cancel
A participant (or their parent/guardian) must notify the regional office directly (via the NCSY account or by phone/email) Midwest@ncsy.org . Notification via a chapter adviser, local Rabbi, or other indirect route is insufficient and will not qualify for refund/credit.

Processing
Refunds will be issued via the same method as the original payment. Alternatively, credit may be issued to the participant (or family member) to be used immediately or for a future event. Refunds will be processed within 30 days of the event close.
